Notice at collection

When you send an inquiry, we collect your name, email address, optional phone number, venue and event preferences, estimated guest or crew count, date information and anything you include in your message. We use this information to respond, discuss your plans and manage the inquiry. We also collect limited website, referral and security information described below.

Inquiries are recorded in our customer relationship and inquiry-management systems, including Copper and Google Sheets. The website delivery copy is retained for 30 days before becoming eligible for removal of its contact and message content; operational records and business-system copies have separate retention rules. See Data retention.

The inquiry-delivery integration does not send your form contents to an advertising platform. Website analytics and advertising identifiers are a separate subject: see “Analytics, advertising and tracking” below and Cookies & tracking.

Who this policy covers

“Marvimon,” “we” and “our” refer to Marvimon Productions, Inc. in connection with this website and the inquiries it receives. A venue agreement may name a different related legal entity; the agreement identifies the party responsible for that booking. This policy does not replace a signed venue agreement or another notice provided for a particular service. It does not describe a third party’s independent handling of information after you leave our site.

Questions and privacy requests can be directed to inquiry@marvimon.com. Please put “Privacy request” in the subject line so the team can identify your message.

Information you provide

We receive the contact information and event details you choose to submit and later correspondence about your plans. Share only information you are authorized to provide and that is needed for the inquiry.

You can ask Marv venue questions without providing contact details. If you choose Ask the team, you can review your question, venue or event context and the available conversation before submitting your name and email. The question and page path accompany the inquiry. Shared conversations are attached as separate Copper notes, not copied into the Google Sheets inquiry columns or the existing inquiry-summary fields. No transcript is sent to staff just because you chat. This does not subscribe you to marketing. Unsubmitted handoff contacts remain in page memory, not saved chat storage. See “AI venue chat” below.

Do not enter payment-card details, passwords, identity documents, detailed medical information or a guest list. The form is not a payment or document-upload service. Contact the team directly to discuss an accommodation, sharing only what is needed.

Information from website use

Our hosting and security services process technical information needed to deliver the website, including IP addresses, requested pages, browser or device information, request times and errors. Protected inquiry identifiers help limit abuse and prevent duplicates.

The website can retain a landing-page path, referring hostname, selected campaign parameters and advertising click identifiers, when present, in temporary browser storage. These details may accompany an inquiry. Unrelated URL parameters and full referring-page addresses are excluded from that attribution record.

Venue-guide interactions and the Marv conversation can be stored in this browser tab. Marv uses OpenAI as described in “AI venue chat”; it cannot confirm live availability. Google Analytics and advertising tags are disabled at launch. Existing embedded services are described in Cookies & tracking.

Why we use information

We use inquiry information to answer questions, discuss dates and venue suitability, arrange next steps and keep a record of those communications. We use technical information to operate the website, investigate errors, protect against abuse and confirm whether an inquiry was saved and delivered. Referral and measurement information helps us assess website and campaign performance.

Submitting a venue inquiry is not a subscription to unrelated marketing and is not permission to publish your name, message or event as a testimonial. Any separate promotional communication or use of event photographs must have its own appropriate basis; these policies do not create a blanket permission.

Who receives information

Marvimon team members and authorized service providers receive information needed for their work. The rebuilt website uses Vercel for hosting and delivery services, Neon for the website’s inquiry database, Copper for inquiry and relationship management, and Google Sheets for the inquiry record. Existing downstream business workflows can process the resulting records. Authorized website and technical support providers may assist with maintenance or troubleshooting.

Those systems are separate: removing the website’s temporary copy does not automatically delete a Copper lead, a spreadsheet row, a team email or a record created by an existing workflow. OpenAI receives the chat inputs described in “AI venue chat.” Meta/Instagram, Google and Vimeo may separately receive technical information when their embedded services load. Their policies are linked in Cookies & tracking.

We may also disclose information where required by law, to respond to valid legal process, to investigate fraud or protect legal rights, or in connection with an actual business transfer, subject to applicable privacy obligations. This does not authorize unrestricted sharing for unrelated purposes.

Analytics, advertising and tracking

Google Analytics, Google Tag Manager, advertising pixels, remarketing tags and customer-data uploads are disabled on this website at launch. Existing Google properties and historical records are not deleted or changed. We may retain the limited referral information described above with an inquiry.

Before optional measurement or advertising is enabled, its actual collection, privacy choices and notices must be reviewed. This policy does not enable those features or grant permission to disclose inquiry contacts to an advertising platform.

Instagram previews, the calendar and optional venue video tools are separate external services and may receive technical connection information or use their own cookies. Their loading behavior and privacy notices are described in Cookies & tracking.

Browser privacy signals

The current website code does not automatically change its behavior in response to the legacy Do Not Track setting. Global Privacy Control is a different signal that can express an opt-out preference under applicable law; the current build has not yet implemented an automated response to that signal.

You can contact inquiry@marvimon.com about your privacy preferences. An email request does not itself stop technical collection in a browser. This disclosure describes the present implementation; it does not replace any obligation to implement an opt-out or consent mechanism that applies to the production configuration.

How long information is kept

The retention period for contact and message content in the website’s inquiry-delivery database is 30 days from acceptance. Eligible content is removed during scheduled cleanup, subject to processing safeguards; this is not an exact-to-the-minute deletion promise. Limited receipt, delivery and duplicate-prevention records can remain after that content is removed.

Copper, Google Sheets, correspondence, bookings, accounting records, backups and third-party services are not governed by the website database’s 30-day setting. Retention for those records depends on the purpose, status of the inquiry or booking, applicable obligations, disputes and the system holding the record. The policy does not set a universal deletion date for them. Details and current limits are explained at Data retention.

Privacy requests and your choices

You can ask us about information you provided, request a correction or ask us to delete it by emailing inquiry@marvimon.com. Describe the request and provide enough information to locate the relevant inquiry. Please do not send identity documents or other sensitive material unless a suitable verification method has first been arranged.

Depending on the law that applies, you may have rights to access or receive a copy of information, correct it, request deletion, opt out of sale or sharing, limit certain uses of sensitive information, or exercise rights without unlawful discrimination. These rights have conditions and exceptions. We may need to verify a request or an authorized agent’s authority before disclosing or deleting records. We will explain a limitation or denial where required.

A deletion request is reviewed across the relevant systems; clearing browser storage or removing a website payload does not erase records everywhere. We do not promise immediate deletion, deletion of legally required records or a single response deadline that applies to every request. Applicable statutory deadlines still govern.

California and other locations

California and other privacy laws can provide rights in addition to the choices described here, depending on the business, the processing and the person making the request. Nothing in this policy removes a right or remedy that applies to you. Contact inquiry@marvimon.com if you would like to make a request or ask which information is associated with your inquiry.

The website serves Los Angeles venues. It and its providers can process information in the United States and other locations used to deliver their services. We do not promise that all information stays in California. Visiting from another country does not by itself waive your rights.

Security

The rebuilt inquiry service uses safeguards including encrypted website inquiry content, restricted operational access, transport security and controls intended to reduce abusive or duplicate submissions. Different business systems and providers have their own safeguards. No website, email service or storage system can be guaranteed completely secure.

Keep confidential financial, identity and account information out of the general inquiry form. If you believe information has been sent in error or exposed, contact inquiry@marvimon.com so the issue can be assessed.

Children’s information

This website is intended for people researching or arranging venues, not for children under 13. We do not knowingly seek personal information directly from children under 13 through the inquiry form. If you believe a child has submitted personal information, contact inquiry@marvimon.com so we can assess the record and take appropriate action. An event involving children does not make the inquiry form a place to submit children’s personal details.

Changes and contact

This policy is effective October 23, 2026. If our practices change, we will update this notice and its revision date. Where a change requires additional notice or permission, we will address that before applying the change as required. A revised notice does not by itself authorize a new use of previously collected information.

For privacy questions, requests or an accessible copy of this notice, email inquiry@marvimon.com. More information is available at Cookies & tracking, Data retention and Accessibility.

AI venue chat

When enabled, Marv is an AI assistant powered by OpenAI. It writes replies using reviewed venue information and general event-planning guidance. Your question and up to six short earlier messages are sent to OpenAI to prepare a response. Marv is not a staff member; its answers may be mistaken and cannot confirm a date, reservation, quote, exception or contract term.

Please keep names, contact details and sensitive information out of the chat. The service attempts to remove obvious email addresses and phone numbers before a model request, but this is not a complete personal-information filter. The conversation, unsent chat draft and panel preference are saved in this tab’s session storage so they survive refreshes and page navigation. The full current conversation is kept locally, up to 201 messages and 100,000 characters; new questions stop at that safety limit instead of removing older messages. An older restored conversation may already be incomplete and is labeled accordingly. Saved conversations expire after 24 hours without an update and normally disappear when the tab closes, although browser session restore can preserve them. Our chat budget database does not store questions or replies. Starting a new conversation clears the saved chat; closing the panel does not. Handoff name/email fields, tokens and submission state are not saved with the chat. Restoring a conversation does not resend questions or submit a staff inquiry. These actions do not delete information already processed by a provider.

Our requests disable optional saved-response storage. This does not mean zero provider retention: under OpenAI’s standard API settings, abuse-monitoring logs may contain prompts and replies for up to 30 days, or longer when required by law or reasonably necessary to protect services or others from harm. OpenAI states that API data is not used for model training by default unless the account opts in. Provider controls and exceptions are explained at https://developers.openai.com/api/docs/guides/your-data.

To control abuse and spending, the service retains protected network-derived visitor identifiers, request times, token counts, estimated costs and operational request IDs. These are not described as anonymous. They contain no chat text or handoff contact fields, and have no fixed automatic deletion period in this implementation; usage history is retained so a restart cannot reset the spending allowance. This is separate from the 30-day website inquiry-content period.

Staff follow-up is optional. If you choose Ask the team, the separate form collects your name and email, lets you review your question and venue/event details, and submits those details to Marvimon’s inquiry systems, including Copper and Google Sheets. The reviewed question and page path accompany the inquiry. When conversation sharing is enabled, the visitor can review the entire available conversation before submitting; it is attached as separate Copper notes, not copied into Google Sheets or the inquiry-summary fields. A temporary encrypted website delivery copy follows the inquiry-content retention setting. Copper has its own retention rules. No transcript is shared with staff merely because the visitor chats, and this does not add the handoff name or email to model requests. The form’s name and email fields are not sent to the AI model. You can also email inquiry@marvimon.com directly without using AI chat. The live website creates an inquiry only after you explicitly submit the separate follow-up form. Automated customer and staff emails from this rebuilt website are disabled at launch; existing business workflows operate separately.
